The client is required to adhere to Flow Motion Pictures policies where applicable. If the client is unhappy with a product or service, then the client should contact us with a complaint as soon as possible. We will manage the complaint on an individual basis that will not affect the client's statutory rights. Flow Motion Pictures will not be liable for any claims for consequential loss howsoever caused.
Definitions
Client: Any person or party paying for services from Flow Motion Pictures.
Images: Photographs, digital files, prints, edits, and final productions created by Flow Motion Pictures.
Services: All photography, videography, post‑production, prints or related deliverables provided by Flow Motion Pictures.
Pricing & Quotations
All prices are quoted in Pounds Sterling (GBP) and include VAT at the current UK rate.
We reserve the right to revise prices in promotional materials or published offers without notice.
Any changes to scope after booking may affect pricing. Clients will be notified in writing if costs change.
Booking, Payment & Delivery
Booking & Deposit
A 50% deposit is required at the time of booking to secure your session.
Payment is accepted only via our online system. Cash, cheques, and finance options are not accepted.
Please use your full name as the payment reference.
Final Payment
The balance must be paid at least 48 hours before the scheduled session.
No deliverables will be released until full payment is received.
Delivery
You will receive a private, password-protected online gallery to select your final images.
Typical turnaround is 14–28 days, depending on selection and editing requirements.
Any Physical prints (with or without frames) will be posted to you.
We store ordered goods for up to one year. After this, they may be destroyed without notice.
Cancellation & Refunds
Cancellations by Flow Motion Pictures
We reserve the right to cancel a booking (with no refund) if the client is late, does not follow health & safety instructions, or damages equipment or staff.
The client may be liable for the full session cost and any additional losses or damages incurred.
Cancellations by the Client
Clients may cancel or reschedule with 72 hours' notice without penalty.
Cancellations within 48 hours of the appointment will incur a £50 cancellation fee, deducted from the deposit.
If you choose not to purchase any images or prints after the session, no further payment is due beyond the session fee.
Copyright, Prints & Usage
All works created by Flow Motion Pictures remain our copyrighted property.
Clients may not reproduce, distribute or publish any image without written permission (except for those supplied for personal use).
We request that images shared publicly are credited to Flow Motion Pictures.
Due to variation in display technologies, colours may not match perfectly across devices or in print.
Safety, Liability & Client Responsibilities
We maintain a safe environment, but clients are responsible for their own safety and that of their guests.
Clients must cover the cost of any damage or breakages they cause.
We are not responsible for any personal belongings lost or damaged during the session.
Clients should inform us in advance of any medical or accessibility needs.
Safeguarding
We follow child protection and safeguarding best practices.
Minors must be accompanied by a responsible adult (aged 18+) at all times. Our staff will never be alone with children.
Complaints & Liability
Please raise any complaints promptly so we may resolve them professionally.
All complaints are assessed on a case-by-case basis and do not affect your statutory rights.
Our liability is limited. We are not responsible for any indirect or consequential losses.
Miscellaneous
These Terms constitute the entire agreement between Flow Motion Pictures and the client.
Any amendments must be made in writing and agreed by both parties.
If any clause is found to be invalid, the remaining clauses remain in effect.
These Terms & Conditions are governed by the laws of Scotland / the United Kingdom [please select] and any disputes will be handled in the relevant courts.
